Cancellation Policy

• More than 7 days prior to the hire date : full refund of deposit

• Less than 7 days prior to hire date : 50% refund of deposit.

• Less than 24 hours prior to hire date : no refund

Please note all refunds are subject to a £5 administration fee to cover bank and processing charges.

Horse Insurance & Passports

All horses transported must be insured for travel. Southill Equine accepts no responsibility for any illness, injury or damage caused to horses whilst travelling in our horse box .

It is the hirer’s responsibility to ensure all horses travel with a valid passport, as required by law.

Security Deposit

A refundable security deposit of £150 is required for all hires.

Mileage Allowance

Mileage limits apply to all bookings:

• Full day hire 250 miles

• Half day 125 miles

• week 1250 miles

  Additional mileage is charged at £0.50p per mile and will be deducted from the security deposit if applicable. Mileage will be checked upon return.

Return of security deposit

The £150 security deposit will be returned once the horse box has been checked and confirmed to be returned in the same condition it left in, subject to:

• Fuel policy compliance

• Cleaning standards

• No additional mileage charges

• No damage to the vehicle

  Where minor damage occurs that does not require an insurance claim, the remaining balance of the deposit will be refunded once repair costs have been confirmed and settled.

Incorrect fuel

The horse box requires diesel fuel only. If incorrect fuel is added, the hirer will be fully liable for all associated recovery and repair costs. These charges will be deducted from the security deposit.

Fuel Policy

The horse box will be supplied with a full tank of Diesel and must be returned full.

If the tank is not returned full, the hirer will be charged for the missing fuel plus an additional £50 refuelling fee. These charges will be deducted from the security deposit.

Cleaning Policy

We kindly ask that the horse box is left in a clean and tidy condition following use. Please remove all droppings, dirty bedding and loose hay and wipe any mess on the walls or partitions. Cleaning equipment will not be available so please ensure this is done before returning. A £35 cleaning charge will apply if the horse box is is returned in an excessively dirty condition requiring additional cleaning.

Liability

Southill Equine will not be held liable for :

• Injury, illness, damage or death to any horse(s) or belongings

• Delays in transport or collection

• Veterinary, physiotherapy or farrier costs

• Loss of entry fees, stabling fees or related expenses due to transport delays or breakdowns

Vehicle cleaning & Disinfection

After every hire, all horse contact areas are fully cleaned and disinfected ready for the next customer.

Damage to the Horsebox

The hirer is fully responsible for any damage caused to the horse box by either horse or driver during the hire period.

Where repairs are required, the hirer will either:

• Pay the full repair costs, or

• pay the insurance excess of £500 where an insurance claim is necessary. please note drivers aged 23/24 excess is £750 Drivers aged 25+ £500

  Please ensure sufficient funds are available should damage occur. Part payments or payment plans will not be accepted.

  The hirer will also be responsible for loss of earnings at £100 per day whilst the horsebox is off the road for repairs.

  Vehicle inspection

  There will be an opportunity before departure to inspect the horsebox for any existing damage. Hirers are encouraged to ask questions and take photographs before travel if desired.
